Log, edit, and time hours

Record work, class time, and timed sessions with the right site and supervisor.

Log a completed activity

You can open Log hours with the plus button; on web, use its button or press L. The form asks for date, activity, duration, and site, and the date picker blocks future dates; client activities may also ask for a unit, age, or modality. Use Notes for your own reminder.

Choose the supervisor when the work is supervision or when the form needs the supervisor associated with that hour. The supervisor menu is filtered by the chosen date and site. A supervision entry without a named supervisor can be saved, but Accrue warns that the hour will not count as a supervision unit in rules that require the supervisor link.

Class time is the exception to site selection. Choose the class activity and leave Site as No site. The entry can still appear in a program ledger if its rules include class time. A board ledger may read the same entry differently.

Edit or delete a saved entry

Open an entry from Hours. Its detail page shows the date, length, site, supervisor, client unit, modality, and notes, followed by its classification under each active ledger. Choose More → Edit to change it. Choose More → Delete to remove it. Deleting an entry removes those minutes from every ledger and report that used it; it cannot be undone from the entry page.

If the correct site or supervisor is absent, save the underlying record only after checking the available choices. Open Settings → Sites to correct the site's dates, or link the supervisor to the appropriate site. See Sites and supervisors.

Use the session timer

Choose the plus button and Start a session. Confirm activity, client details, modality, site, supervisor when relevant, and planned length. Most recent session details are prefilled. Start the clock, then choose End and log when the work ends.

If the clock reaches the planned length, the session logs at the planned length. If you end early, Accrue rounds the elapsed time to the duration step selected in Settings → Logging. A failed save keeps the session running so the time is not discarded. On iPhone, the session may appear as a Live Activity and schedule an alert at the planned end. The browser app keeps it in a session bar.

The timer screen has no pause or break control. If a break occurs, end the timed session and log the completed work duration, or use Log hours to enter the actual length manually. Do not count unworked break time as session time.

Class and fieldwork instruction

If your setup includes a class schedule and an active program ledger that counts class time, Accrue can create an entry for each meeting due so far and continue adding meetings as the term proceeds. Review the course days, term dates, and meeting length in your path settings. Otherwise, log class or internship instruction as its own activity, with the actual date and duration and no site. A program ledger may count class time when its rule set says it does; another ledger may ignore it. For a school-specific spreadsheet, follow its instructions and verify any class-site information it requires.

Before saving

  • Use the date the activity occurred, not the day you entered it.
  • Pick the activity that matches the work and the actual client unit or modality.
  • Attach the correct site; sites are offered only on dates between their recorded first and last days.
  • For supervision, choose the supervisor who conducted or signed that supervision.
  • Read the per-ledger preview as a classification aid, then check full ledger progress for weekly gates, caps, and older-hour limits.
