Records and reports

Reports and exports

Create weekly summaries, ledger reports, CSV files, and imports.

Weekly and ledger reports

Use a ledger's report to review credited buckets, exclusions, gates, limits, and weekly details. Weekly summaries show recorded work for a selected ledger, site, supervisor, and calendar week. A report is a view of your saved records under the selected rules; check its date range and source before sharing it.

Accrue can create PDFs for weekly summaries and supported board-form workflows. See Signatures and board forms for what those files contain and what still needs review or signature.

Export and import a spreadsheet

The hours CSV includes the local calendar date, activity, exact duration in h:mm, reported decimal hours, site, supervisor, client unit, age when relevant, modality, and notes. Its template is a starting point for spreadsheet import. Review each row before importing; an unrecognized date, activity, duration, or required site is skipped and reported by line rather than guessed.

Import can create missing site and supervisor records from names in the sheet. Check those records afterward, because imported names do not supply all the details, dates, credentials, and links you may need for forms. If you re-import the same export after correcting it, matching rows are recognized to avoid duplicating them.

Reported hours and rounding

Rounding changes spreadsheet presentation, not saved minutes or ledger credit. Under Settings → Reported hours, choose exact minutes or an increment such as 5, 6, 15, 30, or 60 minutes, then round down or up. For example, the CSV keeps a 50-minute entry as 0:50; its reported decimal can be rounded according to the selected setting.

Some class-hour reporting stays exact. A separate education or fieldwork spreadsheet can use a different convention, so follow that program's instructions before changing the setting. Do not use rounded spreadsheet values to overwrite the app's exact entry times.

Before exporting or importing

  • Check the selected date range, ledger, site, and supervisor.
  • Confirm names, license details, and site information that will print on a form.
  • Remove client names and clinical details from notes; records are not a clinical chart.
  • Keep the original export or supporting records if your program asks you to retain them.
